Job purpose
The Manager, Building Administration and Facilities is mainly responsible for the following:
- Administration, maintenance, troubleshooting, repair and upkeeping of Sun Buildings (Brampton and Mississauga), Facilities outside of labs and production areas including but not limited to:
-
- Plumbing
- Fire protection systems
- Lighting, painting and flooring
- Security systems
- Storm water and Sanitary sewage systems
- Landscaping and Exteriors
- Perimeters and Parking lots
- Governmental compliance for Fire, Building, Electrical, and Environmental codes.
- Execution of Capital projects relating to new construction or renovations.
- Provides technical support to all aspects of the maintenance function outside of labs and production areas, including facilities, building envelops, structures and grounds reliability and preventive maintenance programs.
- Support Manager, Utilities Maintenance from Admin & Facilities stand point to maintain GMP compliance.
Duties and responsibilities
The Manager, Building Administration and Facilities responsibilities would cover the following areas:
- Unless otherwise specified, all facilities and all buildings outside of the lab and production area including but not limited to:
- Hallways
- Access doors
- Parking lots
- Pavement
- Walkways
- lighting
- Landscaping
- Building envelop including roof of the building
- Building Mechanical Spaces
- Cafeterias, eating spaces and restrooms
- Facilities and service include but not limited to:
- Plumbing
- Waste management including
- Sanitary water systems
- Storm water systems
- Hazardous Material waste management
- Solid Waste management
- Fire protection systems in the entire site including the lab and production areas:
- Sprinkler systems
- Fire hydrants and extinguishers on the site
- Emergency lighting
- Fire exit doors
- Building access management
- Building accessibility and compliance with AODA
- Assisting with Building Automation Systems
- Access doors and Roll-up doors in the area of responsibility
- Eyewash and safety shower stations in the entire site including the lab and production areas.
- Site round cadence
- Restroom checks,
- Building condition reviews
- office furniture conditions and lighting checks at regular cadence
- Signages across buildings
- Parking Lots Management
- Access control and providing access to new employees, withdrawing for the exited employees
- Gardening and landscape management
- Cafeteria management including but not limited to:
- Upkeeping the microwaves, coffee machines
- Supplying of the consumables
- Cleanliness and functionality of the kitchen sinks
- Upkeeping of the entertainment systems
- Equal attention to all the building
- Building Pest Control in the entire site including general areas outside the lab and production areas
- Lead and manage site-wide initiatives aimed at improving the overall ambience, functionality, and user experience of the facilities.
- Ensures all facilities support employee well-being, productivity, and compliance, while continuously improving aesthetics, comfort and sustainability.
- Identify and implement upgrades to infrastructure, interiors, lighting, signage, and communal spaces to align with organizational standards and employee well-being.
- Collaborate with cross-functional teams to prioritize and execute facility enhancement projects.
- Conduct regular assessments of facility conditions and propose improvement plans based on feedback, usage patterns, and strategic goals.
- Oversee vendor selection, budgeting, and project timelines for refurbishment, modernization, and aesthetic upgrades.
- Ensure all upliftment activities comply with safety, regulatory, and sustainability standards.
- Review, modify or create SOP’s, and Work Orders/Calibration procedures for compliance with regulatory requirements and to maintain the Facility outside of labs and production area in an efficient manner
- Operation and maintenance of facilities listed above in the area of responsibility,
- Implementation and development and expansion of the Building Management System to ensure, cost effective, high equipment availability.
- Act as Site Chief Security Officer of Sun overseeing Security and Fire Systems.
- Lead the maintenance and update the Fire/Safety Plan/and required system testing for compliance with Occupational Health and Safety Act and Regulations for Industrial establishments.
- Site Supervision/Contractor coordination for construction/renovation projects.
- Work toward site improvements and people’s working experience
- Proactively identify and propose site improvements:
- Generate and present suggestions to enhance site conditions, emphasizing that even small, budget-friendly changes can significantly improve employee experiences.
- Liaison with Third Party Contractors, Suppliers. Monitor, maintain and negotiate equipment/facility service contracts (e.g. Landscaping, snow removal, pest control etc.)
- Review reliability information and recommends areas for investigation and/or improvement.
- Maintain the preventive maintenance system in operation and compliance.
- Manage consumables and spare parts inventory system including levels, suppliers, usage analysis.
- Comply with cGMP, all Global and Site Policies, SOP’s and Guidelines as well as Provincial and Federal Codes requirements when and where needed
- Maintain equipment files and documents
- Maintain the hardcopy or digital version of all certificates issued by third party in the related fields of responsibilities and
- Plan and implement for certificates renewal in the related fields of responsibilities
- Schedule and maintain records for all inspections by outside agencies on pressure vessels, machinery, life safety systems, etc. including but not limited to:
- Security systems
- Fire Protection
- Insurance
- CT-PAT
- SMETA
- Backflow preventers
- Coordinate scheduling of major shut-downs, assisting with the coordination of vendors, outside trades, etc.
- Perform other related duties as required.
- Follow safety rules/regulations and report any workplace injuries or accidents.
- Complete all GMP Documentation correctly and in a timely manner
- Complete all training assignments and maintain personal training records
- Participate in and/or lead Non-Conformance Investigations when assigned
- Complete Corrective and Preventive Actions (CAPA’s) when assigned
- Initiate, and follow through with actions required to close Change Controls when needed
- Participate in Internal, Customer and Regulatory Audits.
- Admin support for the Mississauga office when required
- Administration of CPMS
- Flexibility to work shift schedules when required
- Other duties as assigned
Qualifications
- Diploma/Degree in Facilities Management, Engineering, or related field
- 5+ years of experience in building maintenance or facilities operations
- Property Management Certificate would be considered an asset.
- Excellent leadership skills
- Committed to safety in all aspects
- GMP knowledge and experience, mainly related to facility design, operation and maintenance.
- Extensive knowledge of pharmaceutical facility and process equipment operation, and maintenance.
- Good interpersonal skills as well as and verbal and written communication skills.
- Ability to manage the contractors properly.
- Experience of building systems operation and preventative maintenance systems.
- Knowledge of Ontario Building, Electrical, and Fire Codes
- Familiar with boiler and pressure vessel and life safety inspections and regulations
- High degree of skill required for problem-solving, both in mechanical and electrical systems
- Ability to use time effectively, prioritize and focus on current task.
- Computer skills (MS Office, Lotus Notes)
Working conditions
- Equally divided between office and plant floor (indoor and occasionally outdoor)
- Clean pharmaceutical plant working conditions
- Exposure to dust and dirt etc. during repairs to facilities and equipment
- Work schedule will vary to achieve inspection, maintenance and repair objectives with minimum impact on production capacity. Flexibility to be available over the weekend and holidays when needed.
