The Site Administrator provides high-level administrative and operational support to the Site Head and visiting SUN executives. This role acts as a key liaison across departments, ensuring seamless coordination among operations, procurement, finance, legal, and logistics teams while supporting site-wide initiatives.
Area Of Responsibility
Procurement & Financial Administration
Generate and manage purchase orders (POs) in SAP in compliance with Designation of Authority (DOA).
Monitor and increase PO activity to avoid price blocks.
Coordinate vendor setup in SAP, including onboarding documentation (I-9/ACH, bank verification, vendor request forms).
Partner with Procurement to ensure accurate and timely vendor onboarding.
Process Capital Expenditure (CapEx) requests in the Global Capex System (GCS).
Reconcile purchase orders and invoices; resolve discrepancies with vendors and internal teams.
Coordinate with Logistics for timely Goods Receipts (GR).
Vendor & Contract Management
Manage vendor communications, contracts, and purchase documentation.
Act as liaison between legal and vendors for Services Agreements and Statements of Work (SOWs).
Ensure compliance with procurement and company policies.
Administrative & Executive Support
Support Site Head and visiting executives with scheduling, coordination, and communications.
Maintain awareness of executive priorities and ensure follow-ups on commitments.
Perform general administrative duties (copying, scanning, filing, document preparation).
Operations & Site Coordination
Support plant shutdowns and planned operational events.
Coordinate pest control response and corrective actions in collaboration with cross-functional teams.
Maintain office supplies and coordinate purchasing via approved vendors (Amazon, WB Mason, Uline, etc.).
Receive and distribute mail and packages.
Employee Engagement & Events
Support in organizing company events, including:
Holiday parties
Summer outings
Monthly food trucks
Employee milestone celebrations and onboarding activities
Training & Compliance
Complete SOP training via Learning Management System (LMS).
Ensure adherence to company policies and procedures.

The presently-anticipated base compensation pay range for this position is $74,000 to $82,000. Actual base compensation may vary based on a number of factors, including but not limited to geographical location and experience. In addition, this position is part of the Annual Performance Bonus Plan. Employees are eligible to participate in Company employee benefit programs which include medical, dental and vision coverage; life insurance; disability insurance; 401(k) savings plan; flexible spending accounts; and the employee assistance program. Employees also receive various paid time off benefits, including vacation time and sick time.
