Job Summary:

 

Sun Pharmaceutical Industries Inc. (Sun Pharma) is seeking an Administrative Assistant in Medical Affairs in its’ Princeton, NJ location.  This individual will report directly to the Senior Vice President, Head of Medical Affaris and support up to five (5) additional leaders in Medical Affairs as organization expands. 

 

Responsibilities:

 

  • Calendar Management: Schedule and coordinate appointments, meetings, and events for the executive, ensuring their time is used effectively.  Collaborates with other administrative leads to align schedules for strategic meetings
  • Communication: Handle incoming and outgoing communications on behalf of the executive, including emails, phone calls, and correspondence.
  • Travel Arrangements: Coordinate global travel arrangements, but will manage flight seating arrangements, booking of hotel and transportation, Visa and passport renewals, and prepare travel itineraries. 
  • Documentation: Draft, proofread, and edit reports, presentations, and other documents as needed.
  • Information Management: Maintain and organize confidential files and documents, ensuring easy retrieval.
  • Gatekeeping: Screen and prioritize incoming requests and inquiries, handling routine matters and redirecting important issues to the SVP.
  • Expense Management: Manage expense reports, reimbursements, and financial records.
  • Project Assistance: Provide support on special projects and initiatives, conducting research and preparing materials.

 

Education & Qualifications:

 

  • High school diploma, or equivalent
  • Min of 8 years administrative experience supporting senior leader in fast paced organization
  • Excellent interpersonal and written/oral communication skills
  • Highly Proficient in Microsoft Office, including Word, Excel, Power Point
  • Experience with Concur for Expense reporting
  • Willingness to evolve and progressively take on new responsibilities
  • Prior experience in working for global/matrix organization highly desirable
  • This role may require occasional flexibility in working hours, but provides a hybrid work schedule
  • The administrative assistant is required to maintain a high level of professionalism and confidentiality at all times

 

The presently-anticipated base compensation pay range for this position is $63,500 to $78,000. Actual base compensation may vary based on a number of factors, including but not limited to geographical location and experience. In addition, this position is part of the Annual Performance Bonus Plan. Employees are eligible to participate in Company employee benefit programs which include medical, dental and vision coverage; life insurance; disability insurance; 401(k) savings plan; flexible spending accounts; and the employee assistance program. Employees also receive various paid time off benefits, including vacation time and sick time.
