General Summary:

The primary responsibility is to manage receiving and distribution operations for all inbound and outbound materials movements. This includes incoming receipts from vendors (inventoried and non-inventoried materials including R&D items), all outbound shipments to international customers and our finished goods DCs in Canada and the USA, all movements to/from our 3PL support warehouses. This role will also ensure we maintain a clean, safe and secure GMP operating environment. The Manager, Receiving and Distribution will contribute to maximizing productivity, quality, compliance and customer service internally and externally. Additionally, this position will support process improvement initiatives and focus on providing leadership, team building and mentorship.

 

Principal Duties and Responsibilities:

  • Lead, develop, organize work flow and assign tasks to the Receiving and Distribution team.
  • Ensure the required SAP/RF transactions, documentation and required log books are completed on-time to support accurate inventory receipts, inventory management and QA/GMP compliance.
  • Evaluate and recommend improvements for incoming inspection, sampling and tailgate processes. Work on process improvements with the QA Incoming Supervisor.
  • Manage the prompt and efficient fulfillment of Taro US, UPS and international shipments while reviewing Packaging output to ensure no distribution backlog and to prevent Taro warehouse congestion.
  • Ensure compliance is maintained with all regulatory requirements related to Distribution and Receiving including C-TPAT, Canada Customs, US Customs, Health Canada and the FDA.
  • Responsible for cross-training and providing backup to the Warehouse Manager, Operations and Facilities.
  • Oversee housekeeping tasks for Taro Warehouses (B132 + B130).
  • Satisfy all internal re-labeling requirements, including production, R&D and 3rd party receipts (SUN Pharma, Taro Israel).
  • Ensure required cycle counts and location counts are completed in a timely manner.
  • Investigate and resolve inventory discrepancies as required.
  • Ensure compliance with cGMP guidelines and SOPs, which are assigned to the Distribution and Receiving staff. 
  • Report and complete safety incident reports as and when required.
  • Co-ordinate the destruction of rejected materials, vendor returns and inventory and non-inventory disposals.
  • Lead employee management initiatives such as attendance and performance management, safety audits and health & safety meetings.
  • Ensure administrative management of meetings by ensuring the use of meeting agendas, action follow ups and the capture of meeting minutes for points of reference.
  • Perform payroll and human resources functions such as managing time & attendance, hiring, coaching and disciplining.
  • When necessary, operate a forklift to support material handling requirements.
  • Review and assess staff forklift/powered equipment operations to ensure machines are being safely operated and annual certifications are valid.
  • Complete all cGMP documentation correctly and in a timely manner.
  • Complete all training assignments and maintain personal training records.
  • Participate in and/or lead non-conformance investigations, as assigned.
  • On-time completion of Corrective and Preventive Actions (CAPA’s).
  • Initiate, and follow through with actions required to close Change Controls.
  • Other duties as assigned.

 

 

 

 

Knowledge, Skills and Abilities:

  • Knowledge of standard material handling practices including fork lift and pallet truck operations.
  • Knowledge of standard warehouse safety rules and skills in enforcing company safety rules.
  • Must have a good understanding of Microsoft Office and experience with integrated MRP/ERP systems (SAP preferred).

 

Background and Experience:

  • Post-secondary Degree / Diploma required.
  • Minimum of 7-years of progressive experience within warehousing, shipping/receiving and transportation functions combined with 3-years people management / leadership experience.
  • Valid Driver’s license.
  • Valid Fork Lift license required (Reach / Counterbalance / Rider-Walkie).
  • Minimum 5-years of experience operating a forklift (Raymond Reach).
  • Minimum 3-years of experience operating within an ERP system (SAP preferred) including material movements, inventory control and use of an RF Scanner.
  • Strong knowledge and experience of Warehousing and Material Movement best practices.
  • Strong pharmaceutical cGMP background an asset.
  • Management/supervisory skills.

 

Problem Solving:

  • Ability to make decisions within the scope of warehouse operations as necessary to maintain material flow.
  • Ability to recognize staff performance problems and to take the necessary actions to resolve and/or to solicit the assistance of the Director, Warehousing and Distribution to effect resolution.
  • Ability to communicate effectively (written and orally) both with subordinates and with management and colleagues.
  • Ability to investigate inventory discrepancies, determine root causes and suggest/initiate corrective actions.
  • Ability to investigate operating problems (CAPAs - NCIs), determine root causes and suggest/initiate corrective actions.

 

Working Conditions:

  • May be contacted through telephone during off regular hours regarding ‘urgent’ or emergency issues.
  • Warehouse Office environment with majority of time spent in the warehouse or receiving areas.
  • Work overtime, including weekends, when required.
  • Exposed to noise from equipment.
